**Serengeti Kopje Tours - Terms and Conditions**
**1. General Information**
All trips operated by Serengeti Kopje Tours are personalized experiences. Clients will receive a detailed itinerary outlining the destinations, activities, and sights to expect. While we strive to adhere to the agreed itinerary, unforeseen circumstances such as road closures, weather conditions, security issues, or other factors may necessitate modifications. In such cases, Serengeti Kopje Tours reserves the right to adjust the itinerary at our discretion, inform clients promptly, and arrange suitable alternatives, maintaining the quality and spirit of the original plan.
**2. Conditions in Tanzania and Africa**
Clients must understand that conditions in Tanzania and Africa may differ significantly from those in developed countries. Changes in government-regulated fees, taxes (such as park entrance fees), and other local charges can occur unexpectedly. SerengetiKopjeTours reserves the right to pass these additional costs onto clients.
**3. Payment Terms**
Upon booking, clients will receive an invoice detailing the trip. To confirm reservations, a deposit of 45% of the total itinerary cost is required, along with 100% payment for airline tickets. The remaining balance must be paid at least 65 days prior to the trip start date. For bookings made within 65 days of departure, full payment is required at the time of booking.
**4. Methods of Payment**
Payments should be made via bank wire or transfer to the account specified in your invoice.
**5. Cancellation Policy**
Clients may cancel their booking at any time, but cancellation charges will apply as follows:
- More than 65 days before departure: Deposit is non-refundable
- 50 to 65 days before departure: 50% of the total itinerary cost
- 0 to 50 days before departure: 100% of the total itinerary cost
Please note, costs related to international flights are non-refundable once booked. Cancellation requests must be made in writing. Changes to itineraries or departure dates after booking may incur a fee of €150, subject to availability.
**6. Pricing and Website Information**
Prices published on our website are per person, based on two travelers unless otherwise specified, and quoted in USD. Additional expenses such as passports, visas, border taxes, tips, insurance, optional excursions, or personal purchases are not included. Prices are indicative and may change; SerengetiKopjeTours cannot be responsible for pricing errors. All quotations are valid for two weeks.
**7. Travel Documents**
Travel documents (vouchers, e-tickets, luggage tags, flyers) will be provided two weeks prior to departure.
**8. Insurance**
It is a condition of booking that clients carry comprehensive travel and medical insurance covering medical expenses, repatriation, cancellation, baggage loss, and emergency evacuation for the entire trip duration.
**9. Passports and Visas**
Guests are responsible for ensuring their passports are valid for at least six months beyond their travel dates. Most nationalities can obtain a tourist visa on arrival in Tanzania ($50; US citizens $100), valid for three months. It is advisable to check visa requirements and obtain visas in advance if possible. SerengetiKopjeTours is not liable for visa issues or costs.
**10. Name Accuracy**
Please verify the accuracy of names on your invoice. If corrections are needed after three or more days of receipt, a fee of €125 applies.
**11. Contract**
Booking with SerengetiKopjeTours confirms acceptance of these terms and conditions. Our contracts are governed by Tanzanian law, with Dar es Salaam courts having exclusive jurisdiction.
**12. Booking Procedures**
We do not offer standard package holidays but craft tailor-made experiences. A binding contract is formed once we receive a deposit of 50% of the quote price or full payment if the booking is within 12 weeks of departure. Full payment is due 12 weeks prior to departure. The lead traveler is responsible for all payments and ensuring that their entire party understands and agrees to these terms.
**13. Medical Conditions and Disabilities**
Please advise us of any medical issues or disabilities at the time of booking. We reserve the right to decline bookings if we believe we cannot accommodate specific needs adequately.
**14. Documentation**
Review your confirmation documents promptly. Notify us immediately of any inaccuracies within 14 days of receipt. We are not responsible for errors not reported within this period.
**15. Cancellation by Clients**
Cancellations must be made in writing. Deposit and any amendment fees will be forfeited. International flight costs are non-refundable. Cancellation charges are:
- >65 days before departure: Deposit only
- 50–65 days: 50% of total cost
- <50 days: 100% of total cost
**16. Price Surcharges**
Prices may increase due to fuel, taxes, park fees, or other unforeseen costs. We reserve the right to levy surcharges exceeding 2%; if surcharges exceed 10%, clients may cancel for a full refund.
**17. Changes by Clients**
Requests for itinerary modifications after deposit are subject to a fee of €150. Changes within 12 weeks of departure may be treated as cancellations.
**18. Cancellations by SerengetiKopjeTours**
We reserve the right to cancel or amend trips due to unforeseen circumstances or force majeure (wars, natural disasters, strikes, pandemics, etc.). In such cases, clients will be offered alternatives or refunds. We are not liable for damages resulting from force majeure.
**19. Changes to Itinerary**
Most minor changes will be communicated promptly. Major changes, such as significant flight delays or accommodation alterations, will be discussed with clients, who can accept alternatives or cancel for a full refund.
**20. Our Responsibilities**
We ensure services match descriptions and meet local standards. However, external activities or excursions booked through third parties are outside our control and liability. Infrastructure in developing regions may be basic, and some services affected by local conditions.
**21. Liability and Insurance**
We are responsible for delivering services as agreed. Liability is limited to negligence on our part or our staff's. External providers’ conditions may limit their liability. Clients must have suitable insurance. We limit liability for injuries or damages to the holiday cost, except in cases of our negligence.
**22. Carriers**
Transport by air, sea, or land is subject to carrier conditions and international conventions. We are not liable for delays, cancellations, baggage issues, or other operational problems caused by carriers.
**23. Law and Jurisdiction**
This agreement is governed by Tanzanian law. Disputes will be settled in Tanzanian courts.
**24. Liability Limitations**
Our liability is limited to the holiday price except for injuries or death caused by our negligence. For external activities, liability is limited to the activity’s cost.
**25. Problems During the Holiday**
Report issues immediately to the local guide or manager. If unresolved, contact Serengeti Kopje Tours in writing within 28 days of your return.
